Voicemail Drops

Voicemail Drops is a Buzz feature that allows you to pre-record, store, and send ringless voicemails for seamless use in campaigns. This article will walk you through the process of recording custom voice messages and incorporating them into your campaigns.

Please note that Voicemail Drops are currently available only for recipients in the US and Canada.

  1. When creating a new campaign, select the Voicemail Drop option from the list of the Dialer steps.

2. Read and accept the Terms of Service.

4. If this is your first time using Voicemail Drops, opt for Record or Upload. Be aware that uploaded files must meet specific criteria, as seen in the screenshot below. To capture a new voice message, click Record. If you have pre-existing recordings, you can select one by clicking Select from Saved Voicemails.

5. To record a new message, make sure that your browser has microphone access enabled, then press Record > Start recording.

6. To finish recording, press Stop Recording.

7. Name your voicemail and click Add.

8. Once you are finished, you can add a personal note to easily identify the message within your Inbox.

As with other steps, you have the option to add text to your Voicemail Drop using placeholders, incorporate waiting time between steps, and enable manual step approval.

💡 The phone number used for the VM Drop won't match any dialer numbers you've purchased. To ensure a smooth experience, we recommend informing prospects of the best number to call you back at.

9. Finally, click Save Step to add the voice drop to your campaign.

To review all recorded messages, navigate to the Resources tab > Voicemails.

Click on + Add New Voicemail to upload a pre-recorded voicemail straight from your device. Alternatively, in this section you also have the option to record a new voicemail.

If you click on the three-dot menu next to a voicemail, you will see options to edit or delete it.

Sending a Voicemail Drop from the Prospect Card

Another way to send a voicemail drop directly to a prospect is through their prospect card (accessible from either the Prospects or Inbox tabs). From there, select Dialer > Voicemail.

Next, choose from the available numbers (direct or enriched) and follow the same steps as before to either add a prerecorded voicemail or record a new one.

How Voicemail Credits Work

  1. When the Voicemail feature is turned on in your workspace, you'll receive a certain number of extra Voicemail credits each billing period on top of your regular Basic credits.

  2. Sending one voicemail uses one Voicemail credit.

  3. What happens if you use all Voicemail credits before your billing cycle resets?

    • Buzz will automatically start using your Basic credits to keep sending voicemails.

    • If you run out of both Voicemail and Basic credits, any remaining prospects in the campaign will be moved to Pending with a system notification.

How to Set Your Voicemail Sending Limits

If the Voicemail Drop feature is enabled in your workspace, you can control how many voicemails are sent per Operating hours from the campaigns.

To adjust this setting:

  1. Go to the Settings tab

  2. Navigate to Account Limits

  3. Find the section labeled Limits per day

Voicemail Sending Limits to Keep in Mind

  • The maximum number of voicemails you can send per day from your connected Social Account is 70.

  • There’s also a frequency limit: you can send a maximum of three voicemails to the same phone number within a three-day period. The limit is reset every three days.

These rules help protect deliverability and ensure respectful outreach pacing.

Supported Number Types for Voicemail Drops

  • Mobile Phone Numbers: Buzz supports delivering ringless voicemails to most mobile phone numbers. These are the primary target and generally have high delivery and response rates.

  • Landline Numbers with Carrier Voicemail: Buzz can send voicemail drops to landlines only if those landlines have voicemail boxes provided by the carrier. Many traditional landlines lack voicemail or use PBX systems that do not support RVM delivery, making them unsupported.

  • 🚨 Numbers Not Supported:

    • VoIP numbers (virtual numbers from VoIP providers like Google Voice or PBX systems) are not supported as ringless voicemail system cannot interface directly with their voicemail servers.

    • Landlines without voicemail or with PBX voicemail systems cannot reliably receive RVMs via Buzz.

Voicemail Drops make it easy to personalize your campaigns with pre-recorded messages, helping you connect with your audience seamlessly. This feature is available exclusively on the Scale plan or higher.
