Understanding Subtasks: What’s Happening Behind the Scenes

Many of our users have asked, “What exactly are subtasks?” Great question! Let’s break it down and clarify how subtasks work, when they show up, and how they can be helpful.

One Step, Many Subtasks

Sometimes, what looks like a single step in your dashboard actually involves several smaller actions behind the scenes, which we call these subtasks.

For example, take the Send Message step. It might look like just one action, but under the hood, the system might need to:

  1. Fetch Profile – Pull in recipient data so we know where the message is going.

  2. Record Video – If a video is included, it needs to be created or processed.

  3. Send Message – Finally, the system compiles everything and sends the message.

Each of these is a subtask that must be completed in order for the main step to be marked as finished.

When Can You See Subtasks?

Currently, subtasks are only visible if approval is enabled for that step. If approval isn’t required, you’ll just see the main step once all the underlying actions are done.

This setup makes subtasks especially helpful for troubleshooting or support investigations because:

  • The main dashboard task won’t appear until all (but the last) subtasks are completed.

  • Until then, only the Support Team can track the subtask progress in real time.

  • This helps us identify exactly where things might be delayed or stuck.

👉🏻 To view any subtasks:

Select the prospect you're interested in, open your conversation with them, then click on Tasks in the top dashboard. From there, simply expand the subtask section within any listed task to see the details.

Whether you're experiencing delays or just curious about the inner workings, understanding subtasks gives you a clearer picture of what’s happening behind the scenes. And if something goes wrong? It gives our Support Team the tools to jump in and help quickly.
