How to export all prospects from your account

Setup Prospect Export

  1. Navigate to the Prospects tab in your account dashboard

  2. Click the Export button to open the export menu

  3. Select Export all pages to export your complete prospect list

  4. Enter your email address when prompted

  5. Wait for the CSV file to be generated and sent to your email (this may take 5-10 minutes for large datasets)

Important: Do not select individual prospects manually if you want to export more than 3,000 records. The 3,000 limit only applies when you manually select prospects. Using "Export all pages" allows you to export unlimited prospects.

Usage

The export feature works differently depending on your location in the platform:

  • From Prospects tab: You can export all prospects in your account or manually selected ones using the Export button

  • From Campaign view: Use the "Export Data" option to export prospects specific to that campaign

  • Campaign search completion: If you're exporting from a campaign that uses a Sales Navigator search or search URL, ensure the search has finished adding all prospects before exporting. Searches run gradually during your operating hours, controlled by your "Pages Searched" setting in Settings → Account Limits. An export will only include prospects that have been added to the campaign so far. Check the campaign's prospect count and compare it to your expected total before exporting.

  • From Search section: You cannot export directly from Search. You must first add prospects to a campaign, then export from the campaign

To speed up prospect addition for campaigns using Sales Navigator searches, you can increase the "Pages Searched" parameter in Settings → Account Limits. Alternatively, you can enable "Instant Searches" in the same settings menu to fetch all search results at once, though this option carries a higher risk of account restrictions.

For accounts with large prospect lists (15k+), the CSV generation may take longer than usual, but all records will be included when using "Export all pages". The system can handle exports of 40k+ prospects successfully.
