If your emails are landing in the Spam folder instead of reaching recipients' inboxes, it can impact your communication and campaign success.

Spam filters use various criteria to determine whether an email is trustworthy, but with the right strategies, you can improve deliverability and ensure your messages are seen.

Identify the Reason (If Available)

Some email clients, such as Gmail and Outlook, provide a reason for marking an email as spam. Check for any notifications that indicate the issue. If the email is flagged as "suspicious," the problem may be related to its content.

Improve Your Sender Reputation

A strong sender reputation increases the chances of your emails reaching inboxes. Consider these best practices:

  • Use a verified domain, preferably a corporate one, instead of a generic email address (e.g., Gmail, Yahoo).

  • If using a new SMTP mailbox, enable a warm-up process to gradually increase the sending volume and establish credibility.

Optimize Your Email Content

Spam filters analyze email content before delivery. To avoid being flagged:

  • Avoid spam-triggering words such as "free," "guarantee," "exclusive," and similar marketing phrases.

  • Limit the number of links and avoid attaching suspicious files.

  • Use a spam-checking tool like Mail-Tester to assess your email before sending.

Evaluate Your SMTP Server

The reputation of your SMTP (Simple Mail Transfer Protocol) server affects email deliverability. If your emails frequently go to spam, consider switching to a different SMTP provider or a trusted email service.

Consider the Sender and Recipient Domains

Spam risk can vary based on both the sender and recipient domains:

  • Sending emails from a personal Gmail to another personal Gmail has a lower spam risk.

  • Sending from a personal Gmail to a corporate Outlook account is more likely to be marked as spam, sometimes regardless of content.
