Voicemail Drops Billing: Whitelabel Admin Guide

This guide covers how billing for Voicemail Drop numbers works across the workspaces you manage, and what controls are available to you as a Whitelabel (WL) Admin. 

What Are VM Drops Numbers?

VM Drops numbers are phone numbers that your workspaces use to send Voicemail Drops to prospects. Each number is billed on a monthly/yearly recurring b depending on how your main subscription is set up — $1 per number per month/$12 per year when paying in USD, or the equivalent in credits.

Setting the Default Billing Method

To set up or change the default billing method for your WL, please contact your Customer Success Manager. 

Your Permissions at a Glance

As a whitelabel admin, you can:

  • Buy or renew VM Drops numbers

  • Grant members purchase rights (Workspace Settings > Members)

  • Delete VM Drops numbers

Buying VM Drops Numbers

VM Drops numbers cost $1 each per month/$12 per year (or the credit equivalent). When purchasing, the total order amount equals the sum of all numbers selected.

The system only initiates the number purchase with the provider after payment has been successfully charged.

How Billing Dates Work

After every VMD drop purchase, a record of the purchase is created in your Stripe subscription (or in our own system, depending on your billing setup).

  • The billing date is anchored to the date the number was purchased.

  • VMD numbers are billed on a monthly or yearly cycle, depending on how your main subscription is configured.

Payment Method Behavior (USD)

When paying in USD, the full order is charged to a single payment method — amounts cannot be split across multiple methods.

At purchase, the system tries the default payment method first, then falls back to other saved methods in the order they were added (oldest first).

Payment methods are managed through the Stripe Customer Portal.

What Happens When Renewal Fails

If automatic renewal fails across all saved payment methods:

  • All Workspace Admins on that workspace receive an email notification with a link to the payment page.

  • VM Drops sending is paused for all numbers on the workspace.

  • Affected prospects move to Pending with reason: Voicemail Drops Numbers are Unpaid.

If numbers remain unpaid for 28 days, they will be deleted from the workspace.

Once payment goes through, all restrictions are lifted automatically.

Deleting Numbers

As a WL Admin, you can delete VM Drops numbers from any workspace. No refund is issued for deleted numbers, but the next billing amount is reduced accordingly (no prorated refund for the current cycle).

Workspace Deletion

If a workspace is deleted, the system stops all renewal attempts, sends no further notifications, and issues no refunds. VM Drops numbers are removed from the workspace.
