AIES Billing: Whitelabel Admin Guide

This article explains how billing for AI mailbox slots and domains works across the workspaces you manage, and what controls you have as a Whitelabel (WL) Admin.

What is AIES Billing?

AI Email Service (AIES) relies on two paid components:

  • AI Mailbox Slots — each slot enables one AI-powered mailbox in a workspace.

  • Domains — custom sending domains purchased through the platform.

Each workspace pays for these separately. You can control how they pay: using real money (USD) or credits.

Setting the Billing Method

To set up or change the default billing method for your WL, please contact your Customer Success Manager.

What You Can Do as a WL Admin

Here is a list of your permissions:

  • Buy or renew domains

  • Grant members purchase rights (Workspace Settings > Members)

  • Delete domains

  • Purchase, renew, and reduce slots

Managing Domains

Buying a Domain

Domains are purchased for 1 year at a time. After that time period, your domain will expire. To continue using it, you will need to renew it.

Payment is only charged after the domain purchase succeeds.

Auto-Renewal

Auto-renewal can be toggled on per domain. Here is how it works:

  • If auto-renewal is enabled more than 45 days before expiration: the charge runs automatically 45 days before expiry. If it fails, the system retries on a schedule. You can also trigger a manual retry at any time from domain settings.

  • If auto-renewal is enabled 45 days or fewer before expiration: you are charged immediately when you enable it. If the charge fails, no automatic retries occur — you must retry manually.

If you turn off auto-renewal after a failed charge, all pending automatic retries are cancelled.

The renewal fee is non-refundable.

If a Payment Fails

You will see an on-screen warning with the reason. Depending on the situation, you can:

  • Remove specific domains from the order (if you selected more than one)

  • Retry the payment

  • Switch to a different payment method (if paying in USD)

  • Close the order without completing the purchase

Note: Domain and slot charges are non-refundable once payment is successful.

Payment Methods (USD Only)

When paying in real money, the full order amount is charged to a single payment method — you cannot split an order across multiple methods.

  • For manual purchases and renewals (within 45 days of expiry), you choose which payment method to use. If it fails, you can switch to another saved method and try again.

  • For automatic renewals (more than 45 days before expiry), the charge goes to your default payment method first. If that fails, the system tries your other saved methods in the order they were added (oldest first).

You can manage your saved payment methods through the Stripe Customer Portal.

Deleting Domains

As a WL Admin, you can delete domains from any workspace. Note that any charges already paid for those domains are not refunded.

Payment Failure Error Reference

If a payment fails, the following error messages may appear:

Insufficient funds on the card to complete the payment

Your card does not have enough balance

The card has been reported lost or stolen

This card has been flagged by your bank

The payment requires additional authentication

Your bank requires 3D Secure or similar verification

The bank refused the transaction without a specific reason

Generic bank decline

A technical error occurred during processing

Temporary processing issue — try again

The bank account has been closed

The account linked to this payment method is closed 

The bank account does not support payments in the requested currency

Currency not supported by this card

The payment provider declined the payment

Generic provider decline

Unable to charge your account

Account-level restriction 

Order exceeds your bank account limit

Transaction exceeds your bank limit

Your card has expired

Update your card details

Payment cannot be processed due to policy or legal restrictions

Compliance block

The specified amount is outside allowed limits

Amount too large or too small for this method

This card has been declined too many times. You can try to charge this card again after 24 hours

Rate limit on card — wait 24 hours 

The card has been declined

General card decline

The provided payment method has failed authentication

Authentication failed — use a different method

The payment processor is temporarily unavailable

Try again later or use a different method
